Calavai vs Calendly + Stripe Payment Links: when each wins

If you sell 1:1 sessions — coaching, consulting, therapy, training — at some point you've hit the same wall: booking and payment are two separate problems, and most tools only solve one. Calendly is excellent at scheduling. Stripe is excellent at payments. Stitching them together with Payment Links works, but the seams show up in the worst place: when a client books a slot and then never pays.
This post compares two real options:

The problem both are trying to solve
You want a public link. Someone clicks it, picks a time, pays you, and the booking is locked in. Both options eventually get there, but the path is very different.
Calendly + Stripe Payment Links: how it actually works
Calendly Free has no native payment. To collect money you either:
- Upgrade to Calendly Standard ($12/seat/mo) — gets you Stripe / PayPal collection on the booking flow itself. Best path if you can absorb the fee.
- Stay on Free and paste a Stripe Payment Link in the calendar invite description, then politely ask the client to pay. Cheaper, looks janky, and roughly 20–30% of clients “forget”.
Path 1 works fine. Path 2 is the duct-tape most solos run. The booking is created the moment the client picks a slot — not when they pay. So the slot is “reserved” on your calendar even when the payment never lands.
Calavai: how it actually works
Calavai inverts the order. Client picks a slot → goes through Stripe checkout → only on successful payment does the slot get confirmed and put on your calendar. If they bounce out of the payment, the slot stays open for the next person.
You connect once via Stripe Connect; money flows directly to your Stripe account, minus a 5% platform fee. No subscription. The model is closer to what Eventbrite or Substack does — pay-per-success.

The honest fee math
At $200/session × 20 sessions/month over 12 months = $48,000 gross.
- Calendly Standard + Stripe: $144 (Calendly) + ~$1,464 (Stripe) = $1,608/yr → you net $46,392.
- Calavai: ~$1,464 (Stripe) + $2,400 (5% Calavai) = $3,864/yr → you net $44,136.
Calendly Standard is cheaper by ~$2,250/year on this volume. If your no-show rate is 0%, Calendly Standard wins on price. The math flips quickly when flakes start showing up:
- 10% no-shows on Calendly Free path = $4,800/yr lost (no payment was taken).
- 10% “no-shows” on Calavai = $0 lost (payment was taken before the slot existed).

- You have 0% no-show rate already (corporate / repeat clients).
- You need advanced scheduling: round robin, team routing, lead qualification logic.
- You're already deep in the Calendly / HubSpot / Salesforce stack.
- You're fine paying $12–$16/mo regardless of booking volume.
When Calavai wins
- You sell paid 1:1 sessions and have lost money to flakes.
- You want to sell multi-session packages or recurring subscriptions without a separate Stripe product setup.
- You prefer pay-per-success pricing to a flat monthly fee (you pay nothing if you don't book anything).
- You want a single tool, not a duct-tape stack.
- You're solo or 2–3 person — not a clinic with staff scheduling needs.
Bottom line
Pick by your actual no-show rate, not features.
- If you don't have a no-show problem and want depth: Calendly Standard.
- If you do have a no-show problem and want simplicity: Calavai.
